4 tips to better manage your company’s Communication systems

There is no doubt that the flaws and the internal communication noise can affect directly on productivity and, consequently, the profitability of your company. Business relations are increasingly dynamic and depend on technology, as well as on more complexes internal processes. Today, losing a message can mean the loss of an important delivery, for example, and the difficulties of access between employees and managers may result in a real internal crisis.

Faced with this reality, the administration must assume the posture to improve the conduct of processes, establishing clearly defined channels of communication between employees, suppliers and customers. In addition to investing in technology, a communicational alignment must be done, allowing, thus, that the entire team becomes aware of the values, goals and objectives of your company. In order not to risk creating a disorganized environment, we have created a list with 4 tips to develop a better management of your communication network.

 

Set specific roles for communication platforms

Email, intranet, Skype and even more informal tools such as WhatsApp and SMS. Despite the technology being a powerful ally to strengthen and invigorate interpersonal relationships, it is quite possible that it can generate internal noises, if badly administered. We need to avoid the lack of control of these tools, defining the roles that each established channel shall have.

Whenever possible, centralize these platforms in any tool that provides a wider coverage to their interests, avoiding, for example, the possibility of sending cross-information to employees. Nothing is worse for your team than encountering two memos that have different guidance.

 

Create an environment that enables dialogue

Do not fall into the error of believing that communication must be vertical, where only management can pass on messages to employees. It is very important to listen to them in order to understand their needs and the difficulties they face in their sectors. In many cases, even they can introduce solutions that can make their processes more dynamic.

Open collaborative forums, for example, and try to hold meetings whenever possible with your team to extract information, establish goals and strengthen the values of your company.

 

Think of custom solutions

For each audience, there needs to be defined specific channels to relate, as well as appropriate languages. Why not, for example, create a specific email to employees and another for suppliers? Or conduct actions and campaigns directed to each of these audiences? These simple attitudes can greatly facilitate the everyday management organization.

 

Set the values and messages straight with the management itself

The worst-case scenario is when there is divergence of information in the management. It is essential that the actions taken by your company are clear first among the superiors, such as managers and supervisors, who will be in contact with the team on a daily basis. It is therefore necessary that the board of the company get together whenever possible in order to define the main rules of the business. If the management does not know what to do, employees hardly will.
